Pre-Construction

Purpose: Pre-Construction is the process we go through to ensure we are working on the right projects with the right clients at the right price.

Assessment

  1. Receive a call or text from a client. All client communication should be immediate and friendly.

  2. Collect their information: Ask them: What do you need done? When do you need it done? What’s your name, phone number, email & address? Add the client’s name, description, phone number, email and address to Monday.

  3. Schedule the assessment. Schedule an hour, label it “‘Client Name’ - Assessment,” add the address and project link in the calendar description.

  4. Arrive at the Assessment. Arrive on time and greet the client in a professional and friendly manner. Listen to what they want and address any issues with them.

  5. Draw a sketch. Draw a quick sketch of the project and take measurements of it.

  6. Take and upload photos. Take photos, upload a picture of the sketch and photos and a detailed description in Monday.

  7. Close out the Assessment. Let them know you’ll get a bid back to them within 48 hours.

  8. Schedule the Bid. Schedule an hour within the next 48 hours to complete the bid.

Estimate

  1. Review and sequence the project. Review the notes and photos in Monday and sequence out the project (illustrated above).

  2. Create the Estimate. Log into Quickbooks, go to the Estimate tab and click Create Estimate.

  3. Add the client. Add the client’s name, phone number, email and address.

  4. Add the expiration date. Add the estimate date and the expiration date 30 days out.

  5. Add the PO#. Add the PO# from Monday Project PO.

  6. Add the services. Select the services and descriptions in order, and calculate the quantities needed.

  7. Add the Deposit. Add the deposit request of 50%.

  8. Click Review and send. Click Review and Send. Review the email and send the Estimate.

Ordering

  1. Copy the Material List. Make a copy of the Master Material List and save it as “PO # - Material List” under Material Lists.

  2. Delete unneeded sections. Delete any unneeded sections in the Material List.

  3. Select the materials. Select the quantities needed and add any additional materials with links, quantities and pricing. Typically we will purchase 10% extra material (i.e. tile, flooring, etc). The materials in RED are client selections.

  4. Upload to Monday. Upload the link to Monday and pin it to the top.

  5. Order in batches. Order the materials on the phone or online in project batches. Stay ahead of the project phases to avoid delays. Custom materials can take 6-8 weeks! ALWAYS ASK FOR A DISCOUNT.

  6. Receive the materials. Pick up materials or have them delivered. Ensure the materials are stored in a safe, dry place. Check for damage.

Permits and Approvals

  1. Complete the application. Go to the municipality website, print the building permit application, fill it out and send it in.

  2. Obtain the building permit. Pay the fee and obtain the building permit. Upload a photo of the building permit to Monday.

  3. Place the permit. Place the permit in a visible location at the job site (front window, etc).

  4. Schedule the necessary inspection. Schedule the necessary inspections and get approvals (green stickers).

    1. Site inspections (before the issue of the permit).

    2. Footing forms (before concrete)

    3. Foundation walls (after forms are removed, but before backfill)

    4. Rough-in framing

    5. Sanitation

    6. Rough-in plumbing, electrical, and mechanical (separate permits).

    7. Rough-in insulation (after insulation is added, but before drywall).

    8. Final inspection for Certificate of Occupancy

  5. Upload all approvals. As each stage is approved, upload a photo to Monday.

Scheduling

  1. Layout the project schedule. Review the project sequence and lay out the project schedule. Give us about 20% margin.

  2. Review the delivery schedule. Review the delivery of the materials.

  3. Schedule the team and subs. Schedule the team and the subs (i.e. plumbers, electricians, etc) in Google Calendar.

  4. Notify the client. Let the client know the schedule for the project.
